This article covers the steps required to complete in order to add a Participating Business to your Passport-based Event.
Adding a New Participating Business to a Passport Event
Adding a Participating Business (PT) to your existing Passport-based event requires two separate steps to complete. They don't necessarily need to be completed in this order.
1. Participating Business CellarPass Account
This step is to be completed by the Participating Business
A. Share Sign-up link with Participating Business
In order for a Participating Business to be added to your Passport event, they must go through the online sign-up process to claim their CellarPass account. We recommend sharing this link with them to sign-up on their own, online. Creating a CellarPass Tix-Only account is completely free.
B. Completing their CellarPass Business Profile
Once the Participating Business as completed their sign-up process, a CellarPass team member will then be in contact to provide guidance (if need be) to complete the setup of their account, which can include:
A. Uploading Profile Photos
B. Setting Business Hours
C. Inserting Marketing Copy
2. Adding Participating Business Location
This step is to be completed by the Passport Event Organizer. The User will need to have Admin-level privileges to make these changes.
A. Log into CellarPass back office by going to http://www.cellarpass.com/manage
B. In the left-hand nav, select Business.
C. From the submenu, select Locations
D. In the top, right-hand corner, select Add New Location
E. Complete the form including:
1. Business Name (enter the same information into Location Name, Technical Name and Destination Name)
2. Address Information
F. Once complete, click the Save button.
3. Mapping the Participating Business as a Check-In Venue
We recommend completing this step only after Steps 1 & 2 have been completed.
A. Select Ticketing from the left-hand main menu.
B. From the submenu, select Events
C. From the list of Ticketed Events (Passports), click the name of the event to the left.
D. On the Event Details tab, locate the Select Check-in Venues and click the link.
E. A new window will appear below the Primary Venue Location, named Check-In Venue Locations
F. Click inside the box. A list of the available Locations will be displayed, Click the Location that needs to be added from the list. If the Location you added in Step 2 is not found, review the settings of that Location and be sure the "TIX" checkbox is enabled on the Location.
G. Click the Save button.
H. If there are other Locations that need to be added as Check-in Venues, repeat Steps 3F - 3G.
4. Mapping the Participating Business as Participating Business on the Event Page
We recommend completing this step only after Steps 1, 2 & 3 have been completed.
A. Select Ticketing from the left-hand main menu.
B. From the submenu, select Events
C. From the list of Ticketed Events (Passports), click the name of the event to the left.
D. Click the Marketing & Discounts tab.
E. Scroll down to locate the Participating Locations section.
F. Click inside the box towards the end of the list of Participating Locations. Similar to adding a Location, this will also show a drop down list. This list will show a list of available CellarPass accounts to attach to the Event. Note, if the Participating Business is not found, their account is not yet setup, or complete.
G. Once you have selected the Participating Business, click the Save button in the top right page.
5. Testing & Troubleshooting the Addition of a Participating Business
As with any other major changes or additions to your Passport Event, we ALWAYS recommend that you test everything before walking away and considering the adding of a participating business is complete.
A. Confirm Business Is Displayed on Event Page
Confirming that a Participating Business has been added is easy. Simply go to the Event Details page on CellarPass, scroll to the list of Participating Businesses and confirm the recent addition is being displayed. If the business is not being displayed, review Steps 4.
B. Confirm Participating Business as Check-In Venue
A. Download and configure the CellarPass Guest Link app. Select Passport Events, then select your Passport Event that the Participating Business was added to.
B. A drop down list of all Check-In Venues will appear. If the Participating Business does not appear, review Step 3.
