This article covers how to properly setup the CellarPass Approved Transportation Partners feature
The Transportation Partners feature allows you to require Guests that are booking online (Widget & non-Widget) to select from your pre-approved list of Transportation Partners. What's great about this feature is that you don't have to require this function to be used with all Reservation-based experiences as it's setup on a per Event basis. If your list of Transportation Partners can be specific for each Event. To setup or make modifications to this feature, you will need to be logged as an Administrator-level User account.
Creating Concierge Accounts
To set this up, you will first need to create all of your Transportation Partners as Concierge Accounts. To
- Log into CellarPass by going to http://www.cellarpass.com
- From the left hand menu, select People.
- From the submenu select Manage Concierges
- In the top, right-hand corner of the screen, click the New Concierge button.
- Complete the form with all the required fields.
- When it comes to selecting a Concierge Type, you must select one of the following to be considered a Transportation Partner; Bus Driver, Limo Driver, Tour Operator or Transportation Company. No other types are available for this feature.
- Once the form has been completed, click the Save button.
- Repeat Steps 3 - 6 for any additional Transportation Partners.
Please note that when a new Concierge Account is created, if an email address is matched, we'll simply connect the existing account to your CellarPass subscription. If you add or make modifications to any of the related Concierge account information, this generates a modification request that will be reviewed by CellarPass staff Monday - Friday, 8AM - 5PM. Once reviewed, it will be either approved or comments will be provided.
Grouping Choices By Company Name
Do note that not all the unique email addresses associated with a single Transportation company will be displayed when selecting these on the Event as CellarPass groups these by Company Name. If you want to show different entries for the same Transportation Partner, for example you have a Transportation company that has multiple offices, you could add a couple of entries (using unique email addresses) and name them as such: Company- Location A, Company- Location B, Company- Location C, etc.
Setting Approved Transportation Partners to Reservation-based Events
Now that you have built out your Transportation Partners, you can now assign those to your Reservation-based Events.
- Log into CellarPass by going to http://www.cellarpass.com
- From the left hand menu, select Events.
- From the submenu select Event Manager- RSVP
- Locate the Event you wish to assign your Transportation partners and click the Edit button to the left.
- Doing so will open up the Event Editor. Click the Add-Ons tab at the top of the page.
- At the bottom of the page, you will see two boxes labelled Available (on the left) and Assigned (on the right). By default, all your Transportation Partners will appear to the left. Click each Company Name you wish to add to the list of Approved Transportation Partners.
- Once you have completed adding all of your Transportation Partners to the Event, you'll want to determine if you want to Show this list or make it a Required field. Click the radio button next to the option that fits your preferred checkout mode.
- When you are all done, be sure to click the Save button.
- Last, but not least, we always urge that you do plenty of testing. Book a test booking as if you were placing a Reservation as one of your guests. You'll notice one option that wasn't available being displayed on the backend which says "Using Personal Vehicle" which will be selected by Guests who are driving themselves. This option cannot be hidden or removed.
Selecting Approved Transportation Partners in Backoffice Bookings
When placing a Reservation through the backoffice, you'll notice that the interface hasn't changed. This is because the booking interface already has a dropdown that shows all of your Concierges. This same feature will select the Approved Transportation Partner and associated it with the Reservation being booked. You will also notice that this information is not lost or changed if you were to modify or reschedule an existing Reservation.
Reservation Details View
You will notice that when a Guest books a selects one of your Approved Transportation Partners, we will denote this in the Reservations Details view, which will be followed by a bus-looking icon.
