For TablePro, Professional and Enterprise-level subscribers, you can enable this feature to allow guests to contact you regarding booking a private event which you can then book as a reservation through CellarPass admin panel. Please note that this is communicated as a request to the guest and is not a confirmed reservation.
To use enable this feature, be sure to first check that you are on a TablePro, Pro or Enterprise subscription plan.
Once enabled, this will display a message at the bottom of your booking widget:

You can of course modify this demo URL to link on your own website to offer similar requests without having to search for availability.
REQUIRED FORM FIELDS
- First Name
- Last Name
- Email Address
- Country
- Phone
- Preferred Visit Date
- Preferred Start Time
- Preferred Duration (1,2,3,4,5,6,7,8,9, 10, 10+) hours.
- Number of Guests in Party
- Reason for Visit (select from Baby Shower, Birthday, Bridal / Wedding Shower, Corporate Event, Elopement, Graduation, Holiday Event, Rehearsal Dinner, Wedding Anniversary, Wedding Reception). These options are not customizable.
- Input field for details about their request.
This feature is ideal for properties that would like to allow guests to request customized special event requests should the times display not meet their requirements. Note that clicking the Request button will redirect the guest to the CellarPass website to complete the request form. A copy of the request will be sent to the guest inquiring as well as the email address you configure for this feature.
There are no copies of these types of requests stored on our servers, so it's very important that you use a valid email address. We strongly recommend using an email alias which automatically forwards to multiple staff members to ensure it's not missed or lost.
1. SETTING UP REQUEST FORM
To enable this feature, you will need to be logged in with an admin-level user account.
- Go to the CellarPass admin panel by going to https://www.cellarpass.com/manage
- Click Marketing
- Select Site & Menu from the Settings submenu.
- Scroll down and locate the Private Booking Request Notification section.
- In the Booking Requests section, click the checkbox for Offer Private Booking Requests.
- To the left of this checkbox, enter a valid email address to be used to send copies of the requests to. Please note that this feature only supports one email address. We recommend using an alias email address in case you need to have the message sent to multiple staff members.
- Click the checkbox to enable this service
- Click the Save button.
- Complete testing steps below to confirm you are receiving the email notification.
2. TESTING THE REQUEST FORM
- We recommend running a test by going to your profile page on our website or via your own website.
- Search for any date within the widget that would exceed your group capacity such as 99 guests.
- Scroll down to locate the Private Request section.
- Click the Request button.
- Complete the request form.
- Submit the request form.
NOTE: This form offers no customization other than the email address used to send a copy of the request form. You cannot customize the template you or the guest receives. If you would like to view the template, simply follow the testing instructions outlined earlier in this documentation.
