CellarPass Reservations allows you create Access Code URLs that can be used to expose private Reservation-based experiences to those guests that are provided a URL link, whether that's tied to a button on your website, an email or social media post.
This is an ideal way to allow club members to book club-member exclusive experiences. Or co-branded experiences that are exclusive to a tour or transportation partner.
NOTES
Be sure to not confuse the concept of Discount Codes and Access Codes as they are not the same as Access Codes provide access to a private experience, whereas a Discount Code will apply a discount to the experience.
This article covers on how to configure and use Access Codes for Reservation-based experiences
To create an Access Code, you must first create an Active-Private Reservation-based experience. Once you have completed that, you can continue on following the steps below.
- From the main navigation, select Reservations.
- Select Events from the submenu.
- Click the name of the event you wish to add the access code to.
- Choose Access Codes. Please note, that this is the only way you can access this menu.
- On the top, right-hand side, you'll find the New Access Code which you will use to create a new Access Code.
When designing your Access Code, there are some basics to understand:
1. Access Code
The Access Code is a vital piece of the campaign, which is essentially the code that is used to trigger the system to expose a Private Reservation-based experience.
When creating the Access Code, you'll assign a code such as "ClubMembersAreAwesome" to be used for your campaign.
2. Uses per Event OR Uses Per Customer
The next important step to consider when designing a campaign is to determine if there will be limits, capping the number of times the Access Code can be used (or not) and how many times a single customer can use it. A customer is considered a unique email address.
3. Start/End Date and Time
CellarPass allows you to run multiple campaigns, so you can set up different campaigns to start and end at different times, offering different times of access to private experiences.
Once you have built your Access Code, be sure to click the Save button. Then Save the Event.
4. Test, Test, Test
We encourage everyone to review your Access Codes BEFORE ever sharing the campaign publicly. It's best to run a test order and make sure that you are getting the proper results- and have others in your company test it out for you and provide feedback.
Sharing Your Campaign
Now that you've tested the campaign and you're getting the expected access is being provided, now's the time to share it with your customers. There's a unique feature that CellarPass offers, making it extremely easy for Access Codes to be automatically applied to a booking without the customer having to add it manually. We refer this as the Access URL.
There is no other way for a guest to manually add an Access Code as this was done intentionally.
Once you have built your first Access Code, you will be redirected back to the Access Codes page for the experience. What is now added is the Access Code URL which is shown as a link icon. Clicking this icon will copy the Access Code URL into your clipboard, which can then be pasted into code for a webpage button, an email to club members or via social media.
Now since Access Codes can start and end at different times, be sure to always check that the Access Code URL you are about to share is valid and clearly communicated the limitations (End Dates) or the number of orders does apply, or you may end up with some upset customers.
Known Access Code Issues
Do NOT include any special symbols or characters such as < > ~ + ! @ # $ % ^ * / \ ( ) ? & (these are just examples) if you plan on using our Access Code URL generator. These links will get corrupted and will NOT apply the Access Code correctly.
You must also use unique Access Codes for each experience, meaning you cannot use a single Access Code to expose more than one experience.
