With modern browsers reducing the ability to properly track conversions from digital ads and other marketing campaigns, the more accurate approach we recommend is to use $0.00 discount codes. Now before you freak out, we've done a lot of research and development on this to make sure this is as seamless as possible and "Discount Applied" messaging is hidden when a $0.00 promo code is used.
The additional feature to make this seamless is using Promo Code URLs, which completely eliminates the need for guests to enter a code manually, our code will handle this for you.
Affiliate Booking Program
Before we continue, we need to also make sure you are aware of the Affiliate program which is more appropriate when you have partners such as hotels, transportation partners and other hospitality organizations that are promoting your experiences. If this is your use case, do NOT use the Promo Code feature, but use our Affiliate program. This is a better way to provide your widget code (or links) to book and there's a dedicated report for this use case.
Creating a $0.00 Promo Code for Referrals
Once you've determined the Promo Code feature is the best use case, we'll cover how to create $0.00 discounts and subsequently generate Promo Code URLs.
- Log into the CellarPass admin panel
- Select Experiences from the left main menu.
- From the submenu, select Discounts.
- The Discounts is where all reservation-related discounts are managed. Here you will see all Active Discounts (End Date is not in the past) and all Expired discounts where appear in the Expired Discounts tab.
- Click the New Discount button in the top right.
- Enter a Discount Name, which will be used to reference the discount for your own internal purposes.
- Enter a Promo Code that will be used to track the discount, whether applied manually by the guest or automatically via the Promo Code URL.
- Select the Discount Type which is either Fee Per Person or Order Total.
- Select the Discount Schema, which is either Percentage Off or Dollar Off.
- Depending on what type of Discount Schema you selected, you will enter a number value for Percentage Off or Dollar Off. You do not need to enter the % sign or $ symbol.
- Set the Start Date and Start Time.
- Sent the End Date and End Time.
- Set the rules for either Number of Uses or Total Number of Reservations.
- Set the Minimum Guests and or the Maximum Guests.
- Click into the Applicable Events field to select which Events are applicable.
- Click the Save button.
Creating the Promo Code URLs
For your tracking to be a seamless experience, you'll need to use the Promo Code URL that is created on a per Event basis and the associated Promo Code.
- Log into the CellarPass admin panel
- Select Experiences from the left main menu.
- From the submenu, select Events.
- Click on an Event Name you wish to generate the Promo Code URL and then select Discounts from the submenu.
- In the Discounts section, you will see a list of applicable Discounts for this Event. If none are shown, then no discounts have been applied. Click the Assign Discount to do so. Click the checkbox to the left of the available discount, then select Assign Discount.
- Click the Save button when done.
- When ready to return to the main screen, click the Cancel button.
Viewing Promo Code URLs
You've got your Discounts all set up and now's the time to generate the Promo Code URL and do some testing.
- Log into the CellarPass admin panel
- Select Experiences from the left main menu.
- From the submenu, select Events.
- Click on an Event Name you wish to generate the Promo Code URL and then select Discounts from the submenu.
- In the list of Discounts, you will see a URL button to the right of each one. Clicking this will copy the entire URL to your clipboard.
- Open a new browser window and paste that URL into the browser.
- Now attempt to book the reservation, checking that the discounts are being applied based on your rules.
Reporting Discount Codes
Now that you've successfully created a promo code, shared that through digital campaigns, social media or links on your site, you'll want to track the success of your campaigns.
- Log into the CellarPass admin panel
- Select Reports from the left main menu.
- From the submenu, select Reservations.
- From the submenu, select Monthly Activity.
- This loads the Reports- By Channel Booked report. From the datepicker, you'll need to choose a month to report on.
- You'll see that this report provides a lot of important information about your booking history, but if you look to the far right column, you'll see the Promo column.
- To the right of the Promo column, you'll also see a Discount column which will be the total discount applied to the order.
- We recommend you export this data out and run all the other reports you want as this will make the data portable and used by many different systems.
