CellarPass offers an easy way to export a daily report of reservation data that offers three different types of formats:
- Detailed Export which includes the following data as columns
- Guest Last
- Guest First
- Guest Phone
- Guest#
- Event$
- Discount
- Total
- Customer Type
- Date Booked
- Referred By
- Guest Note(s)
- HDYH (Prof/Ent) - Simplified Export which includes the following data as columns
- Guest Name (combined)
- Guest Phone
- Guest#
- Fee Per Person
- Customer Type
- Referred By
- Internal Note(s)
- Guest Note(s) - By Location which includes the following data as columns
- Last Name, First
- Guest Phone
- Guest#
- Order$
- Customer Type
- Notes (combined)
Exporting Reservation Data
To export Reservation data, you must have Admin-level access to the CellarPass admin panel.
NOTE: Since data file for an export can be fairly large based on the export format type, all exports are downloaded via a link that is found in an email that is sent to the email address used to log into CellarPass. If you do not have a valid email address associated with your User account, you will never receive the email to download the file.
All export files are automated deleted after 12 hours.
- In the main menu, select Experiences.
- From the submenu, select Export Reservations.
- A menu of the different export formats will appear. Choose one of the formats.
- Next, select a date for the date you wish to receive the Reservation data for.
- A new window will appear, noting that the export has been requested. Within a few minutes you will receive the file attached to an email sent to the User's email address that was used to log into the system.
Didn't Receive the Email?
If you didn't receive the email, we recommend the following troubleshooting steps:
1. Be sure the email address you are logging into CellarPass with is a valid email address
2. Check your Junk Mail Folder
3. Contact your email service provider to ensure CellarPass' emails are not getting blocked.
4. When all else is checked, please submit a support ticket with details.
