The flexibility of CellarPass allows customers that have already bought tickets the ability to exchange tickets for others for the same event, or add additional tickets to an existing order. This method can also be used to adjust quantities of tickets. Available to events using CellarPass Payments only.
NOTE: If you need to void tickets, we recommend following the standard procedure of editing the Ticket Order, then voiding the tickets that are no longer needed. Doing so will void the tickets and refund the cost of the tickets and any applicable sales tax or gratuity. If new tickets are added, service fees do apply.
Adding Tickets to Existing Order
You can easily add additional tickets for an event to an existing order by following these instructions:
- First follow the standard procedures of locating the order.
- Click on the Order Number to view the details of the order.
- From the More Actions menu located in the top, right-hand corner of the screen, select Add Tickets to Order.
- This will display a list of the tickets that are already in the order in the Adjust Tickets section. Below in the Add Tickets section, increase the quantity of the tickets you wish to add to the order.
- You may at this time override the price for the tickets.
- The totals will automatically calculate.
- When ready, click the Charge Credit Card button if a credit card is already attached to the original order. If no credit card is available, you will be prompted to add one either using the input fields or if the customer has a card on file, you can use the Card on File button, then select a card on file from the list.
- Once submitted, the credit card on file will be charged for the updated calculated value and any new charges for increased order total and will send a new email confirmation with a PDF that contains all the tickets that are on the order.
NOTE: If your ticket levels require additional information, you will have to edit the order after the new charges have been processed.
Exchanging Tickets on Existing Order
You can easily add additional tickets for an event to an existing order by following these instructions:
- First follow the standard procedures of locating the order.
- Click on the Order Number to view the details of the order.
- From the More Actions menu located in the top, right-hand corner of the screen, select Add Tickets to Order.
- This will display a list of the tickets that are already in the order in the Adjust Tickets section. In this section you can adjust the number of tickets. Any paid tickets (value > $0.00) will automatically show as a temporary credit against the order. Note: This temporary credit cannot be used elsewhere, it must be used against this order.
- You can also adjust the value of the tickets if you wish.
- After adjusting the tickets, you will move down to the Add Tickets section where you can increase the quantity of the tickets you wish to add to the order.
- You may at this time override the price for the tickets.
- The totals will automatically calculate, showing either an Amount Due or Refund Due.
- When ready to process the changes to the order, either click Charge Credit Card or Process Refund. Doing so will immediately charge the credit card on the order or process a refund to the credit card on file.
- Once submitted, the credit card on file will be charged for the new charges and will send a new email confirmation with a PDF that contains all the tickets that are on the order.
NOTE: If you do not process the charge or the refund and leave the order, the order will not be updated.
