Whether you manage your guest visitation using reservations or ticketed events, it's important that you check guests in as there's an automated journey that is triggered when they are checked in.
If a guest does not honor their reservation, it's equally important to marking them as a No Show.
CHECKING IN (RESERVATIONS)
Checking in guests using Guest Link Pro is extremely easy, whether you are on a tablet or smartphone.
1. Locate the record in the "Confirmed" tab
2. Swipe left on the record, this exposes the blue Check In button.
3. Click the blue Check In button.
4. The reservation will then update to Checked-In.
Note that once a reservation has been checked-in, it will appear in the Checked-In tab at the bottom, left side of the app.
CHECKING IN (TICKETED EVENT)
There are three methods of checking in guests using Guest Link Pro which depends on if you elected to offer Guests to print their tickets online or using a Will Call List.
- SCANNING TICKETS METHOD
The easiest method to checking guests in is using the camera on your mobile device, but can only be used if you offer the "Self Print" option and guests bring their printed tickets.
1. Select the Check-In button in the top navigation (user icon with checkmark)
2. Select Ticketed Events from the popup menu.
3. Select the Ticketed Event you wish to check guests in for.
4. At the bottom of the screen, there are two options related to scanning tickets: Rapid Scan and Single Scan. If you have multiple tickets to check in, select the Rapid Scan mode. Doing so will leave the camera mode enabled until you end it. The Single Scan mode will enable the device to scan one ticket only.
5. After enabling the mode, the camera will be active, simply point your device at the barcode on the printed ticket and it will mark the ticket as checked in.
6. The device will provide a success message or an error message. The ticket is now considered checked in. - USING GUEST LIST METHOD
This mode allows you to see an entire list of all ticketholders for your event.
1. Select the Check-In button in the top navigation (user icon with checkmark)
2. Select Ticketed Events from the popup menu.
3. Select the Ticketed Event you wish to check guests in for.
4. At the bottom of the screen, choose Guest List.
5. This will show you a list of all Ticketholders, sorted by Last Name.
6. Swiping left on a ticket will expose a blue Check-In button.
7. To finish checking in the ticket, click the blue Check-In button. Doing so will mark the ticket as redeemed, denoted with a green vertical bar to the left of their ticket in the list. The ticket is now considered checked in. - MANUAL MODE
If your device's camera does not work or somehow the ticket barcode on the printed ticket is unreadable, you can still check-in the ticket using what we consider is manual mode.
1. Follow the same instructions as using the camera, but you will tap the blue Enter TicketID button at the bottom of the screen.
2. This will require you to enter the full 20-digit ticket number that is found printed just below the ticket barcode.
3. Enter the full ticket number and click the blue Check In button.
4. The ticket will then be looked up in the system and checked for validity and show a success or error message. If successful, the ticket is now considered checked in.
Note that ticketholders that have voided tickets will never appear in a Guest List.
