Configuring the CellarPass Check-In App for Ticketed Events
For maximum flexibility and ease of use, CellarPass allows you to choose from 5 different configurations as to how the CellarPass Check-in interface works on a per-ticketed Event basis.
Before we show you how to configure each of your Ticket Events, we'll first discuss what the differences are between each of the 5 different configurations offer:
Attendee App Configuration Modes
1. Guest List Mode, Single Check-in Mode- This mode is designed to be used for most small Ticketed Events where you will NOT be using a barcode scanner for printed Tickets. The "Single" refers to that the system will not accept any additional "Check-ins" once the guest has first been checked in. We recommend using this configuration for Will Call Only Events. Best used for simple, single check-in Events that are going to check Guests in by viewing a Guest List within the Guest Link or responsive app. Once the ticket has been scanned, subsequent scanning will show an error.
2. Barcode Only, Single Check-in Mode- This mode is designed to be used for most large events where you WILL be using a barcode scanner for printed Tickets. The "Single" refers to that the system will NOT accept any additional "Check-ins" once the guest has first been checked in. The system will automatically mark a Ticket as Checked-in as soon as it detects a VALID Ticket ID. We recommend using this configuration for Ticketed Events where Guests are expected to bring their Self Print Tickets or you will be issuing printed badges. Best used for simple, single check-in Events that are going to check Guests in by scanning tickets (or credentials) using the Guest Link app or a barcode scanner in conjunction with the CellarPass response app. Once the ticket has been scanned, subsequent scanning will show an error.
3. Barcode Only, Multi Check-in Mode- This mode is designed to be used for most large events where you WILL be using a barcode scanner for printed Tickets. The "Multi" refers to that the system WILL accept any additional "Check-ins" once the guest has first been checked in. The system will automatically mark a Ticket as Checked-in as soon as it detects a VALID Ticket ID. We recommend using this configuration for Ticketed Events where Guests are expected to bring their Self Print Tickets or you will be issuing printed badges AND you want to scan tickets while Guests enter different venues. Best used for festival-type events that will be scanning tickets or credentials at every entry point.
4. Search Mode, Single Check-in Mode- This mode is designed to be used for most small to large events where you will most likely NOT be using a barcode scanner for printed Tickets. The system will expect you enter any of the following to look up the Guest's Tickets to Check-in: Last Name, First Name, TicketID and Email Address. The "Single" refers to that the system will NOT accept any additional "Check-ins" once the guest has first been checked in. We recommend using this configuration for Ticketed Events where Guests are NOT expected to bring their Self Print Tickets or you will be issuing printed badges.
5. Search Mode, Multi Check-in Mode- This mode is designed to be used for most large events where you will be most likely NOT using a barcode scanner for printed Tickets. The system will expect you enter any of the following to look up the Guest's Tickets to Check-in: Last Name, First Name, TicketID and Email Address. The "Multi" refers to that the system WILL accept any additional "Check-ins" once the guest has first been checked in. We recommend using this configuration for Ticketed Events where Guests are NOT expected to bring their Self Print Tickets or you will be issuing printed badges AND you want to scan tickets while Guests enter different venues.
Assigning the Configuration to the Ticketed Event
Now that you have a good understand of what type of configuration works best for the different types of Events, we'll cover how to assign one of the configurations to your Ticketed Event. Please note that you must be an Admin-level User to make these changes.
1. Log into CellarPass by going to http://www.cellarpass.com/login
2. Select Business from the left-hand navigation menu.
3. Select Apps & Integrations from the dropdown menu.
4. Look for the Attendee App section of the page.
5. Just to the left will be a Configure button. Click this button.
6. You will then be presented with a list of your Ticketed Events; Current, Upcoming and Past Events. You'll want to configure either your Current or Upcoming Ticketed Events.
7. To the far right, will be a dropdown menu, offering one of the 5 configuration types. Select the behavior mode that will work best for the Event being configured.
8. Click the "Save" button once completed.
Testing the Device Configuration
We recommend whenever you make a configuration change to the Attendee App, the next step is to test the configuration to make sure you are all set AHEAD of your Event date. If you are using the CellarPass Guest Link app, once you select the Event that will be used for checking in Attendees, the Attendee App Behavior Mode will be displayed directly below the Event Name.
Follow the standard procedures with setting up the Attendee App which can be found here.
If the configuration for the Event is not what you have set for the Event, be sure to force-refresh the app to ensure that the device you are using is loading the most up-to-date page configuration.
