This article covers all the automated ways discounts can be applied to a Reservation-based event.
DISCOUNT METHOD 1. USING PROMO CODES TO DISCOUNT
One of the easiest way to provide an automated discount is the Promo Code method. You can learn more about setting up and managing Promo Codes for Reservation-based events by reading this article.
AUTOMATING DISCOUNTS BASED ON CLUB MEMBER STATUS, TIER & ACCOUNT TYPE
For those properties that have enabled the integration with one of our integrated eCommerce providers, you'll be able to take advantage of CellarPass' ability to look up customers at time of booking; whether that's the guest booking themselves or via the CellarPass backoffice. If your eCommerce or Club Member platform isn't integrated with CellarPass, do not fret as we have an option for you to be able to manually import a club member list by following our format. DISCOUNT METHOD 2. AUTOMATED DISCOUNTS (Contact / Customer Type)
Whether your CellarPass account is integrated with a real-time partner or you have elected to use one of our manual import methods, you can setup automated discount based on Contact/Account/Customer Types. You will first need to complete the steps to either configuring the integrated partner or import your first manual club member import. This helps CellarPass understand how your club members or customer records are organized. You can learn more about the manual club member import process, here.
SETTING ACCOUNT/CONTACT TYPES
Once you have either completed the integrated partner setup or imported your first club member file, you can move onto setting up your Reservation-based events.
- Log into the CellarPass backoffice.
- From the left-hand menu, select Settings.
- From the Settings submenu, select Manage Account Types.
- This window will show all the Account Types that were found either through our integrated partner or through the import.
- Check the boxes for the Account Types that you'll want to be able discount, or provide access to.
- Click Save once ready.
SETTING UP CLUB MEMBER DISCOUNTS
Now that you have enabled your Account Types, you can move onto how you are going to provide automated discounts or exclusive access to these guests.
- Log into the CellarPass backoffice.
- From the left-hand menu, select Reservations.
- From the Reservations submenu, select Create & Manage.
- Locate the Reservation-based event you would like to set up first. Then click the Edit button to the left.
- Doing so will open the even int the editor. Click the Discounting tab towards the top of the screen.
- You will now see a list of your Account Types. Using the dropdown, select the discounting schema.
- If you would like to require the Account Type to be verified in order to book the event, click the Required to Book checkbox.
- Repeat Step 7 for all the applicable Account Types.
- Click Save once ready.
DISCOUNT METHOD 3 CLUB MEMBER (YES / NO)
Depending on your method of integrating your club members, your integrated partner might have the ability for CellarPass to lookup club members and apply a general rule based on the simple status of whether the guest is a club member or not. It's best to find out if you have your CellarPass integrated with your eCommerce/Club platform and reach out to CellarPass Technical Support for more information.
TESTING AUTOMATED DISCOUNTS
With any change, large or small, we recommend you always complete some testing bookings to make sure everything is setup properly. And to do so, your email address will need to be recognized as an active club member. If you are using an integrated partner, sign yourself up for a club, or in the case where you are using the imported club member method, complete a fresh export from your eCommerce or Club system and add your contact information as an active club member.
Now that you are an active club member or been assigned an account type, attempt to book one of your events you've set up to automatically discount through the CellarPass widget on your website. If everything is setup properly, the discounts will be applied, or in cases where you need to be identified for exclusive access, you'll be able to proceed.
TROUBLESHOOTING
In the case where discounts are not being applied while attempting to book via the CellarPass widget, or access isn't granted, we recommend checking the following before submitting a technical support request.
- Confirm that your email address is an active club member. This can be done through the interface of your integrated eCommerce or Club management platform, or in the case where you manually added your email address via the import tool, be sure your email address is spelled correctly.
- Go back and edit the event you configured and make sure you setup the discount properly and it's the same EventID that you are booking as there are times when multiple EventIDs are built with the same Event Name.
