If you are a participating business of a CellarPass-powered passport event, we recommend you read this article to get the most out of your participation.
This report is designed to be used by the participating businesses in a Passport, only. If you are the Event Organizer of a passport program, the Event will not appear as an option. This is intentional since your location has not been setup as a check-in location. Please contact your account manager for more information on how to run reports.
Note: You will not receive any Passport Check-In data unless you actually electronically Check-in Ticketholders. To do so, you must either use the CellarPass Guest Link Pro app for Android or iOS or the alternative "Responsive" web-based Check-in interface which is to only be used by Participating businesses that don't have access to a compatible smartphone or tablet.
If you are a participating business, your report will show all passports that were checked in at your Location only. Despite how the Event's Post Capture process is configured, the data made to you is limited to:
1. Last Name
2. First Name
3. Email Address
4. Phone Number (if available, we recommend making this a requirement)
5. Check-In Date and Time (when this TicketID was checked-in at your location)
6. TicketID
To run this report, following these steps.
1. Log into the CellarPass backoffice by going to http://www.cellarpass.com/manage
2. Select "Reports" from the left-hand menu.
3. Select Check-In Reports- Passports.
4. Using the dropdown of available Events, select the Passport event you are participating in.
5. Click the green "Report" button to run the report.
6. The grid will populate.
If you would like to Export the data, click the "Excel" icon in the top right-hand corner (Export button if available). Doing so will download a file into your browser which can then be opened in Microsoft Excel.
If you are the Event Organizer that is operating the Passport program, you have a different set of Reports that will provide you more information. You should use the Attendee Leaderboard Report found in Passport Events Reports.
Further note, most of the CellarPass reports are cached on the server for 5-10 minutes to reduce constant reloading of reports. So if you see that your data is not showing a recent check-in (last 10 minutes), wait a few minutes and run the report again.
CELLARPASS TICKETING TERMINOLOGY
Ticketbuyer is the person who buys the passport (ticket), but doesn't necessarily have to be a Ticketholder or Attendee. They can purchase these and assign them to others.
Ticketholder DOESN'T have to be a Ticketbuyer (someone "gifts" them a Ticket and DOESN'T necessarily mean they are also an Attendee. This is because a Ticketholder doesn't become an Attendee until they are actually checked into the system using one of our electronic means of marking them as checked in.
Attendee doesn't have to be a Ticketbuyer, but DOES need to be a Ticketholder. An Attendee until they are actually checked into the system using one of our electronic means of marking them as checked in.
