In cases where you have setup your event to auto-charge the credit card on file for a Reservation, you won't know if the credit card is approved or declined until the auto-charge has been completed.
How Do I Know If a Reservation Has Been Paid, Not Yet Paid or Was Declined
In cases where you have setup your event to auto-charge the credit card on file for a Reservation, you won't know if the credit card is approved or declined until the auto-charge has been completed.
Paid or Not Paid That is the Question
CellarPass provides different interfaces to be aware of paid and unpaid (declined or not yet processed) Reservations. Each interface provides you this information a bit differently, so we'll cover each.
CellarPass Backoffice
1. Select Experiences
2. Select Dashboard.
3. Select the date for the Reservation
4. Look for the Payment Status icon which is typically the second column from the left.
If the "$" has a red background, then the Reservation is NOT PAID as the credit card was declined.
If the "$" has a green background, then the Reservation has been PAID
If the "$" has a blue background, then the Reservation has not yet been processed, but is scheduled to do so based on your Deposit Policy.
Please note that the blue background could also be displayed if the Reservation was canceled prior to the auto-charge running. You will see the "red" Reservation status denoting a such.
CellarPass Responsive App
In the CellarPass Responsive app, when viewing the list of upcoming Reservations, there will be a column that will clearly denote if the Reservation has been paid or not.
1. The Amount Paid will be displayed in green with the amount paid. It will also said "(Paid)" to make it absolutely clear.
2. If the payment was declined, the Amount would be displayed in red.
CellarPass Guest Link iOS/Android App
This covers how to use our native Guest Link app to understand whether a Reservation has been PAID or not.
1. Load the Guest Link app, or download it from the Apple App Store or Google Play store. [[Learn More]]
2. Once you have the app loaded, select the date of the Reservation (if not today).
3. In the list of Reservations, you will see a column denoting the Amount Paid.
If this amount is displayed in red, then the Reservation is not yet Paid.
If the Amount Paid is displayed in green, then the Reservation is considered PAID in full.
Clicking into the Reservation, you'll see the Amount Paid (if partial payment was previously received).
CellarPass Table Pro
1. Locate the Reservation in Table Pro
2. Click on the Reservation so that the Reservations Details screen on the right is displayed.
3. Locate the Payment Status in the top, right-hand corner.
A paid Reservation will display Paid in green
A Reservation that is NOT paid will display Unpaid in red.
4. Lower in the same panel, you will see any Amount Paid or Amount Due denoting any possible deposits credited towards the Reservation.
