CellarPass provides one of the most robust calendaring tools, but we're often asked if you can sync Reservations in CellarPass with Microsoft Outlook. This article covers this subject.
Can CellarPass Integrate Our Reservations with Microsoft Outlook Calendar?
Well the answer is yes and no. Due to the complexities and firewalls placed on most Outlook Calendars, it's nearly impossible to make this a seamless process. So we figured out a workaround which is fairly easy.
To make sure this is available to you, you'll need to complete the steps on all Reservation Confirmation Email Templates
1. Log into the CellarPass backoffice by going to http://www.cellarpass.com/manage
2. Go to Content, then select Email Messages from the dropdown menu.
3. Locate the first Reservation template you will update, click the name, then select the Edit option.
4. In order for the .ics Outlook file to be attached to the Admin notification, you'll want to add the "[[?Attach_iCal]]" add the tag to your Reservations confirmation emails.
5. Click "Save" button.
6. Repeat these steps for all of your Reservations Confirmation Email Templates.
Removing the Outlook .ics Attachment
1. Follow Setups 1-4.
2. Instead of adding the "[[?Attach_iCal]]" , simply locate it and remove it from your template.
3. Repeat these steps for each of your Reservation Confirmation (and Cancellation) email templates.
Additional Notes
For the .ics Calendar to work, the calendar used to store your Reservations MUST be set to the correct timezone or your appointments will not be added to your Outlook Calendar at the correct times. Same goes for your Guests as they too get a copy of the .ics file with their confirmations.
