If you're using CellarPass Payments to collect payments, you can request to have your account reviewed to see if you can be approved to receive payouts before your events take place.
The alternative is to create your own Stripe Payments account and map it to your CellarPass account. Note there is a higher ticket service fee rate if you choose this option.
Before You Start
Standard Payout Schedule: These are initiated before your event occurs and cease once it concludes. Your final payout will be sent 5 days after your event ends.
Scheduled Payouts Applicability: CellarPass would first need to approve your account and your specific event to receive a scheduled payout that does not follow our standard schedule.
Permissions: Only the account owner can set up scheduled payouts.
Payout Schedules
You can select from the following payout schedules:
- After Your Event: Processing begins 5 business days after your event ends.
- Twice a Month: Processing starts on the 5th and 20th of each month. If these dates fall on a holiday or weekend, it will be the next business day.
In the US, funds will appear in your account within 7 business days (9 business days internationally) once a payout is sent.
Payout Cap
A payout cap limits the total amount CellarPass will send across all events before they conclude. The cap is $100,000 USD (or equivalent in your currency) across all live events. This cap will reset as your events are concluded. Once an event ends and the final payout is sent, that amount no longer counts toward the cap.
Payouts for Ended or Cancelled events will not be paid out until after the last event date.
Payout Reserve
CellarPass retains 60% of your scheduled payouts to cover potential refunds, chargebacks, and cancellations. If your remaining payout falls below 40%, no additional payouts will be made until more tickets are sold for that event.
Your final payout, including any amount held in reserve, will be sent 5 business days after your event ends.
Calculating Payouts
You can view a summary of all sent or upcoming payouts under the Payouts Report for each individual event.
- Balance: Payouts that haven't started processing yet. Once you've sold tickets, the future payout will be displayed here.
- Paid: Payouts currently processing or sent. Your event's payout begins processing 5 business days after it ends or on the custom schedule pre-approved for your event
For a detailed breakdown of a specific payout:
- Go to Ticketing.
- Select Events.
- Click on the Event Name.
- Select Payout Report.
- View the net ticket sales and total payout amount.
The balance is based on your net sales at the time the payout was sent. The payout amount will adjust if any charges or credits are applied.
NOTE:
Due to the rigorous audit process to receive approval, understand that not all accounts are approved for this pre-event payout schedule. This approval process typically takes 2 - 3 weeks once all the required documentation has been provided.
To be be considered, our team will require and consider the following:
1. How long you have been a CellarPass subscriber?
2. How many events and how much value in sales were transacted?
3. How many events have been posted posted in the past?
4. How many events are currently published?
5. A current copy of your company's Profit & Loss statement certified by your accounting team.
6. Contact information for your Comptroller or Accounting representative.
If you are not approved, we recommend you create a Stripe Payments account and submit a request to support to have Stripe used as your payment processor.
Once an event has been launched and tickets have been sold, you cannot change processors.
